Overview

Our Nuclear Services License Renewal Group is seeking an Administrative Assistant to join the team in our Chattanooga, TN office. Step into a role where no two days are the same and your impact is felt across the entire team. As the go-to person for office operations, you’ll keep things running smoothly—from welcoming guests and coordinating schedules to managing supplies, documents, and vendor logistics. You’ll support technical teams, contribute to project success, and bring order to the fast-paced environment with your organization and adaptability. Responsibilities

Imagine a day where you're the heartbeat of a dynamic office—greeting visitors with a warm smile, keeping communication flowing smoothly, and making sure every detail behind the scenes is handled with precision. You’re navigating technical documents, coordinating shipments, managing supplies, and supporting field teams—all while keeping the workspace running like clockwork. Whether you're reviewing vendor invoices, prepping for a catered event, or converting field data into polished reports, your role is essential, varied, and never boring.

  • Front Desk & Communication: Answer and direct incoming phone calls for the office. Greet and assist visitors
  • Document & Mail Handling: Retrieve documentation from various nuclear plant database systems. General copying and scanning. Handle all incoming and outgoing mail, including the preparation of shipments and labels. General filing. General office support
  • Supplies & Inventory: Inventory maintenance and ordering of office and break room supplies
  • Scheduling & Events: Scheduling appointments. Assist with special events and catering
  • Vendor & Purchase Management: Stamp, reconcile and/or code vendor invoices. Prepare vendor purchase orders
  • Fleet & Equipment Oversight: Fleet and office equipment management
  • Data & Technical Support: Convert field information into spreadsheets, boring logs, or written documents. Review technical documents for grammar, and punctuation prior to client delivery
  • Project Logistics: Travel to and from clients or other offices to obtain project documents, deliver lab samples, etc.

Qualifications

  • High School Diploma or equivalent required, advance education preferred
  • Typically requires 6 plus years of strong experience as an Administrative Assistant/Secretary/Executive Assistant
  • Previous experience within the engineering, design and/or nuclear arena is strongly desired
  • Must be a team player, with a positive attitude and have the ability to prioritize tasks, as well as time management skills
  • Must have excellent written and verbal communication skills
  • Must be proficient in Microsoft Suite including Outlook, PowerPoint, Excel and Word
  • Ability to prioritize, organize daily tasks, and be able to multi-task
  • Ability to obtain computer access to nuclear power plant documentation systems
  • Maintain confidentiality related to property- and client-sensitive information

Salary Range Information:

  • If a salary range is listed, it reflects the typical range for this full-time position based on the role, level, and location. Individual compensation within the range will be determined by factors such as work location, relevant experience, job-related skills, and education or training.
